Legal Administrative Assistant – Trust & Estates and Tax

Join Bowditch as a legal assistant in our Trust & Estates and Tax practice area. In this role, you’ll be part of a dynamic team dedicated to delivering top-notch legal services in a collaborative and supportive environment. You will have the opportunity to work a hybrid schedule of 4 days per week in the office, and 1 day per week remotely (Monday-Friday 8:30AM-5PM) This position will work out of the Framingham office.

We are seeking a highly organized and detail-oriented individual to join our team as a Legal Administrative Assistant for the Trust & Estate and Tax Practice. In this role, you will provide crucial administrative support to partner level attorneys with growing practices, ensuring smooth and efficient operations within our firm. This individual will handle a variety of tasks, ranging from administrative to client facing duties. The position requires a strong focus on providing sophisticated administrative support for the Trust & Estates and Tax group.

Responsibilities

  • Manage and coordinate attorney schedules, including appointments, meetings, and travel arrangements
  • Prepare, proofread, and format legal documents, correspondence, and reports with accuracy and attention to detail
  • Assist with the preparation of trust and estate plan signings
  • Assist in maintaining electronic and physical filing systems, ensuring documents are organized and easily accessible
  • Assist with billing and invoicing processes, including time entry and client billing inquiries
  • Provide general administrative support, such as answering phones, greeting clients, and handling incoming and outgoing mail
  • Provide reception desk coverage for short periods of time on an as needed basis
  • Provide training support for other assistants within the firm
  • Perform other duties specific to the role as assigned

Qualifications

  • Bachelor’s degree preferred, but not required
  • 5-7 years of experience in professional services setting or law firm preferred
  • Prior experience training/mentoring colleagues
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively
  • Excellent written and verbal communication skills with a keen eye for detail
  • Strong client service skills
  • Advanced computer skills including experience with Microsoft Office (Word, Outlook, Excel, PowerPoint) Kofax Power PDF, or similar/equivalent PDF program, BigHand Create and Hyperstyles or similar/equivalent Styles and Templates software, and NetDocs; willingness and ability to learn different technologies
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Enthusiasm for learning and willingness to adapt to changing priorities and workflows
